Richland Library is seeking to hire a Full-Time Accounts Payable Specialist at our Main location.
Sample Duties:
- Manages accounts payable using accounting software and other programs; handles accounts payable for separate entities and vendors
- Ensures bills are paid in a timely and accurate manner while adhering to departmental procedures; processes due invoices for payments and refund requests; ensures bills are accurate, approved and correctly entered into the appropriate system
- Updates and maintains the vendor database, accounts payable general ledger, and assists with budget activities
- Analyzes workflow processes and recommends changes for greater efficiency and/or simplicity
- Establishes and maintains relationships with new and existing vendors
- Compares purchase orders, prices, terms of payment and other charges; researches discrepancies between purchase orders and invoices; communicates, as needed, with vendors and library staff regarding the payment of invoices and purchase order discrepancies
- Creates and reconciles payments to vendors through a variety of payment methods (ACH, direct debit, check, etc.)
- Reconciles all accounts payable transactions to include analyzing and resolving payable discrepancies
- Pays book bills with p-card transactions and reconciles all transactions to the general ledger
- Reviews utilities bills for each location to verify for accuracy and consistency; communicates any issues and observations with departments and vendors
- Performs the year end process for accounts payable, including 1099 processing, closing AP for the fiscal year, and preparing materials for the annual audit
- Collaborates with finance staff to ensure adherence to internal control processes
- Assists with a variety of routine and standalone clerical activities
- Follows organizational, County, and public health and safety guidelines and protocols and performs job functions in a safe manner and reports all safety hazards per established policies and procedures
- Attends and participates in staff and professional group meetings; stays abreast of new trends and best practices
- Learns and consistently exhibits Richland Library’s brand promises in all interactions with customers and colleagues; provides outstanding customer service to all internal and external customers; successfully ascertains and meets the individualized needs of each customer
- May be required to work outside of standard business hours, including nights and weekends based on organizational responsibilities and job requirements
Minimum Requirements:
High school diploma or GED required; supplemented by three (3) years of bookkeeping experience, including one (1) year of working with an automated financial system; or an equivalent combination of education, certification, training, and/or experience.
Preferred Qualifications:
Associate degree in accounting and/or two (2) years of experience as an Accounts Payable Specialist and an understanding of financial practices and processes related to a government agency or public sector organization.
Location, Salary & Hours:
Where: Richland Library Main, 1431 Assembly Street, Columbia, SC 29201
Salary: $1,312.50 bi-weekly plus excellent benefits.
Hours: 37.5 hours per week to include occasional evenings and/or weekends: Monday - Friday 9:00 am - 5:30 pm
Job Role & Level: A4; Pay Grade & Salary Band: 4; FLSA Status: Exempt
** Richland Library may change location and schedule of any library job.
